The Integrated Programme in Enhancing the Capacity of AHA Centre and ASEAN Emergency Response Mechanisms (EU-SAHA) Project has been made through the collaboration of the AHA Centre and the European Union. This multi-year project was initially launched on December 18, 2019, that provides multiple types of support for the AHA Centre as it contributes to the AADMER Work Programme and benefits widely to the ASEAN Community. There are two specific objectives of the EU-SAHA Project:

A. Strengthened capacity and sustainability of the AHA Centre to achieve operational excellence in disaster monitoring and emergency response, in line with the AHA Centre Strategic Work Plan;

B. Enhanced mechanisms of ASEAN Leadership to Response-As-One through excellence and innovation in disaster management.

The Project Assistant would support the implementation of the EU-SAHA Project in close

coordination with the Project Management Team (PMT) by providing technical support (e.g., administrative, financial, and logistical) in the day-to-day project activities, including arranging meetings with internal & external partners if it is required and facilitating the PMT in purchasing submission through the internal Enterprise Resource Planning (ERP) system.

Responsibilities 

The Project Assistant has two main functions:

1. Provide technical support in the day-to-day project activities (e.g., administrative, financial,

and logistical).

Assist in the development of proposals, concept notes, TORs, and reports, including all project-related administrative documents;

• Collect and maintain regularly project documents;

• Assist in scheduling meetings with internal and external parties; and

• Assist in procuring logistics using the internal ERP system and travel needs,

including invoices and travel documents by following the AHA Centre regulation and procedures.

2. Undertake identified assignments as tasked by his/her supervisor.

• Assist the supervisor in supporting supplementary tasks related to programmes

and/or projects at the AHA Centre; and

• Communicate effectively and build coordination in the implementation of project

activities with relevant internal staffers, such as finance, logistics, and administration.

Qualification 

Education

o Minimum bachelor’s degree in one or more of the following disciplines: Business Administration, Social Science, International Relations, Management, Public Relations, Communications, or related disciplines.

Experience

o At least three (3) years of work experience in a government(s), NGO(s), and or private company(s);

o Experience in using ERP would be desirable;

o Experience in handling administrative and support would be an asset;

o Experience in working in ASEAN bodies would be an advantage;

o Ability to work in a multicultural setting;

o Ability to demonstrate initiative and work well under pressure;

o Proficient in using Microsoft Office Software and other relevant software; and o Good command of the English language, both spoken and written.
